What is Jabber?

Jabber is an application that allows you to answer calls made to your Kutztown University line on another device, like your work laptop or personal cell phone. Note that Jabber instances need to be set up by IT. To request access to Jabber, email helpcenter@kutztown.edu with your extension and what operating system (ie, Windows, Mac, Android) you will be using with Jabber.

TABLE OF CONTENTS

Jabber on Mobile

Jabber is available for iOS and Android devices. Once your device is approved by IT, you will be able to set up the app as follows:

  • Accept the license agreement

  • Allow permissions when prompted (decline Native Contacts if so desired)

  • Sign in with your KU email and password
    1. Be sure to be on BearNet – Jabber will fail to sign in if you are using KU Guest or another Wi-Fi network.

Contacts

The Contacts list shows native contacts (contacts from your device, only shown if you allow the relevant permission).

The magnifying glass icon allows you to search the KU directory. To call someone from the directory, select them in results and tap the green phone icon.

Calls

The Calls screen lists previously completed and missed calls (missed calls are displayed in red). Press the dialer icon in bottom right corner to dial out.

On Call

Press the green phone icon to accept a call, or the red phone icon to reject it. While on a call, use the buttons along bottom to mute, show/hide video, place your caller on hold, transfer, and more.

To transfer, select …, transfer, enter an extension, wait until the new line picks up, then tap transfer.

Meetings

If synced with with your device’s calendar, this page shows upcoming events.

Voicemail

This screen lists all messages. The badge on the icon indicates new voicemail messages, which are displayed in bold in the list. Press the play button to quickly listen or click on the caller ID to view more information and reply.

To delete messages, tap and hold an entry on the list to select it, then select any additional messages, then tap the trash bin icon.

Jabber on Desktop

Sign into Jabber with your KU email and password. Ensure that you’re logged in and connected to BearNet Wi-Fi or via ethernet.

Jabber’s UI consists of a sidebar for basic navigation, a middle column for calls, and a right column for detailed information. Use the icons to navigate between the pages for Calls, Calendar, Voicemail, and Hunt Groups.

Note that the bottom of the center column allows you to switch between any additional lines you have access to, and displays your connection status.

Making Calls

Jabber behaves similarly to your office phone. You can dial internal numbers and extensions without prefix but will need to prefix external phone numbers with 7 before dialing. The search bar at the top of the dialer will allow you to search the KU directory or enter a number directly.

Call List

To view your call history, click the Phone icon. This shows the history of calls received and missed on your extension. Missed calls display as red in this list. To redial from this list, click on the Caller ID or number and then click the green phone icon.

Hunt Groups

If you are part of a hunt group (in which multiple people are in a “pool” responding to one number), you can log in or out of it from the hunt group icon on the left sidebar.

Floating Menu

On desktop, Jabber can be minimized while leaving a floating menu on screen. Click this icon or hover over it for quick access to dialing, your call list, or your messages.

The floating menu can be moved around the perimeter of your desktop by clicking and dragging.

On a Call

When on a call, Jabber will use your webcam and microphone for video calling. Use the buttons along the bottom of the call UI to enable or disable your camera and microphone.

The … button allows you to place your caller on hold, transfer them to another number, or initiate a conference call.

When transferring, you will be prompted to enter the number you wish to transfer to and will then be connected with that number. Your caller will not be transferred until you press transfer.

Voicemail

Click on the Tape icon to listen to messages that have been left for you. Select a message from the list to view Caller ID, listen, reply to, or forward the message.

Troubleshooting and Tips

If you’re having trouble connecting, ensure that you’re logged in and connected to BearNet Wi-Fi or via ethernet.

If you switch operating systems (ie, switching from iOS to Android), please inform the IT department to prevent issues using Jabber.

Dialing works the same on your office phone and your Jabber client. To dial an outside (non-KU) number, first dial 7 followed by the number you wish to call. For additional dialing information, review our Day One Guide to the KU Phone System.
